EXPLORATORY NOTICE OF EXPRESSION OF INTEREST FOR THE SUPPLY AND INSTALLATION OF LAWN SPRINKLER IRRIGATION SYSTEM IN THE COMPOUND OF THE EMBASSY OF ITALY IN ADDIS ABABA

The Embassy of Italy in Addis Ababa intends to invite all eligible parties to send their expression of interest to participate in the negotiated procedure for the supply and installation of a lawn sprinkler irrigation system in the Compound of the Embassy of Italy in Addis Ababa.

This notice is intended as a mere pre-selective procedure that does not involve preemptive or preferential rights, commitments or constraints of any nature to both the operators concerned and to this Embassy for the awarding of the works at issue. It is only intended to receive expressions of interest in order to facilitate the participation and consultation of the largest number of potentially interested firms and is in no way binding for the Embassy that will subsequently determine the number of eligible parties, to whom a letter of invitation to present their best offer will be sent.

Accordingly, please find below a brief description of the project.

  1. Description of the Project: “SUPPLY AND INSTALLATION OF LAWN IRRIGATION SYSTEM (SPRINKLER AND DRIP) IN THE COMPOUND OF THE EMBASSY OF ITALY IN ADDIS ABABA”.

  2. The bidders will be required to present an offer that must include all material, labor, direct and indirect costs, fees, taxes and installation costs necessary to carry out the procurement at the entire satisfaction of the Embassy. In particular, bidders must provide for all the following tasks required to accomplish the Project referred to in point 1:

    1. Design of the whole irrigation system;

    2. Perform water supply system analysis;

    3. Certified technical characteristics of all equipment and materials deployed for the work, including relevant brochures;

    4. Preparation of detailed Bill of Quantity and take off;

    5. Submission of a time schedule to complete the works;

    6. Preparation and creation of the operational manual;

    7. Civil works, excavation and earth works;

    8. Supply, including transport, of all the materials needed for the irrigation system (water pipes, pipe fittings, sprinklers, etc.);

    9. Installation of the irrigation system.

  1. The irrigation system must cover an approximate area of about 5,000.00 linear meters.

  2. The successful bidder will be expected to complete the work within a short time according to the schedule.

  3. The Embassy has the right to continue or stop the bidding procedure due to whatever reason that it may have.

  4. The maximum available budget allocated for the Project, including all the tasks listed in point 2, is 3,050,000.00 Ethiopian birr, net of indirect taxes.

Companies that possess the general requirements and professional suitability for activities consistent with the supply and installation services indicated above and that intend to receive a formal invitation letter for the submission of their offer, must send a request for participation in the selection, including appropriate documentation (in particular: Company Profile including reference of other irrigation projects completed – if any, Chamber of Commerce registration certificate and or Business Licence, TIN Registration Certificate and any other additional document) by no later than 1 p.m. of Tuesday, December 20, 2022:

  • by e-mail to: adminoffice.addisabeba@esteri.it;

  • or delivery by hand to the Administrative Office of the Embassy of Italy in Addis Ababa, from Monday to Friday during the hours from 10.00 to 13.00.

Declarations of interest will not be declared admissible if:

  • have been received beyond the deadline;

  • they are incomplete in the essential parts;

  • they do not comply with local regulations.

The Companies will be contacted by means of a formal letter of invitation, which will set the general terms and conditions of the supply and services to be entrusted, including the selection procedure.

The sending of the expression of interest is subject to the explicit authorization by the Contractor to process the data provided, including the consent to carry out all necessary verifications with the competent local authorities on the truthfulness of the declarations made about the possession of the requirements and the full acceptance of the provisions of this notice.

This notice is published on the website and on the notice board of the Embassy of Italy in Addis Ababa.
